Many businesses reach a point where the billing tool they use starts to dictate how they work. The counter needs a second discount rule, a branch needs its own stock view, the accountant wants entries in a particular format, and every fix becomes another spreadsheet beside the software. Custom accounting and billing software exists for exactly this moment.

This page explains how we approach the best accounting software development in Delhi: when a custom build is worth it, what the system can include, how GST invoicing, e-invoicing and the audit trail requirement shape the design, how a project runs, and what drives cost. Work is delivered online from Delhi to businesses across Delhi NCR and India.

Our fee is a custom quote based on a written scope. We will not give a headline price before we understand your workflow, and we will tell you plainly if a configured ready-made product would serve you better. This page is informational and not legal or tax advice.

When custom billing software makes sense, and when it does not

Ready-made accounting and billing products are mature and cover a wide range of needs. For a business with standard invoicing and bookkeeping, a configured package is often the quickest and cheapest answer. Custom development earns its place when the process itself is distinctive.

Signs that custom is worth considering

  • Staff keep a side spreadsheet to patch gaps the software cannot cover
  • Billing rules depend on item type, customer category, contract terms or branch in ways the product cannot express
  • Stock behaves unusually, such as batches with expiry, serial numbers, weighed items or made-to-order items
  • Several branches need independent counters with a single consolidated view
  • The accountant has to re-enter data from one system into another every week

Signs that it is not

If your needs are common and a standard product can be configured to match, custom software mainly adds cost and maintenance. If you are not sure, the discovery stage is where we compare the options openly, including the option of not building anything.

Software also sits beside people and process. A good build still needs consistent data entry, and your accounts team still needs support from a monthly bookkeeping and virtual CFO routine to review the numbers it produces.

Who needs custom accounting and billing software

The pattern is more about complexity than industry. Here are situations where we usually see a custom build discussed.

  • A retailer with fast-moving counter sales, mixed payment modes and a need for live stock
  • A restaurant or food outlet that needs item-wise billing, table or order handling and daily sales reports
  • A distributor with credit customers, price lists by party and outstanding follow-ups
  • A service firm that bills by milestone, retainer or hours and wants invoices linked to projects
  • A group with branches that must see consolidated sales, dues and stock without sharing every permission

Suppose a retailer in Delhi runs three counters and keeps stock in a spreadsheet that is updated at the end of the day. Counters sell items that the sheet still shows as available, and the accountant spends days matching them. A system that deducts stock at billing and shows each branch's position in one view addresses the real problem, and the scope would be built around exactly that.

For businesses that mainly need clearer reporting on top of existing tools, our business dashboard development service may be a lighter first step than a full billing system.

What we need from you

A custom build has no statutory paperwork on your side, but clear inputs decide whether the scope is accurate. We ask for the following during discovery.

How you work today

  • A walkthrough of billing, purchase, stock and payment steps, including who does each one
  • Sample invoices, credit notes, purchase bills and the reports you use now
  • A list of pain points, errors and manual workarounds

Business and compliance details

  • GST registration details, turnover range and whether e-invoicing or e-way bills apply to you
  • Item or service master with units, HSN or SAC codes and tax rates
  • Branches, warehouses and user roles, with who should see or change what
  • The accounting platform you use, its version and who manages the books

Technical and brand inputs

  • Existing customer, item, stock and opening balance data to migrate
  • Counter hardware such as printers, barcode scanners and tablets
  • Logo and invoice layout preferences
  • One decision maker who approves scope and changes
Note

The more specific your examples, the more accurate the quote. A few real invoices and reports tell us more than a long description.

What the system can include

We build only the modules you need, in stages, so you can begin with the part that hurts most and add the rest later. These are the building blocks we most often scope.

ModuleWhat it doesTypical decisions
GST billingCreates invoices, credit notes and debit notes with tax calculation and the mandatory particularsInvoice series, tax rates, HSN or SAC codes, print layouts
Point of saleHandles counter billing, discounts, payment modes and receiptsBarcode scanning, hold and resume bills, returns, cash closing
InventoryUpdates stock on sale and purchase, with alerts and stock reportsBatches, expiry, serial numbers, units, reorder levels
Purchases and expensesRecords vendor bills, payments and expensesApproval steps, vendor master, due-date reminders
Multi-branch and rolesGives each branch its own work area under central controlWho can edit prices, cancel bills or view all branches
Reports and dashboardsShows sales, dues, stock and tax summariesReport formats, filters, export to spreadsheet
Accounting integrationSends entries to the accounting platform you useFrequency, level of detail, mapping of ledgers

Integration depends on what the accounting product exposes, such as import files or an API, and on your plan or version.

We design reports with your accountant in mind. A billing system that cannot produce a clean sales register, a party-wise outstanding statement and a tax summary tends to create more work than it saves.

Mobile or tablet access can be added where staff work away from a desk. If you need a dedicated app, our mobile app development page explains how those projects are approached.

Compliance the software has to respect

Billing software lives close to the tax rules, which is why we design for them from the start. The points below reflect sources we checked in October 2026, and you should confirm the position against current notifications for your case.

GST invoice particulars

Rule 46 of the CGST Rules lists what a tax invoice must show. In general, that includes the supplier's name, address and GSTIN, a consecutive serial number of up to 16 characters, the date, recipient details, an HSN or SAC code, description, quantity, taxable value, the rate and amount of each tax, place of supply and a signature. Services invoices are generally issued within 30 days of supply, and exempt or composition supplies use a bill of supply. The software enforces these fields so a user cannot issue an incomplete invoice.

E-invoicing

At the time of writing, e-invoicing applies to registered businesses whose aggregate turnover exceeded ₹5 crore in any financial year since 2017-18, with exemptions for categories such as SEZ units, banks, insurers and certain transporters. The invoice is registered on the Invoice Registration Portal, which returns a 64-character IRN and a signed QR code. Taxpayers with aggregate turnover of ₹10 crore or more must report invoices within 30 days of the invoice date. B2C invoices stay outside e-invoicing.

Some of our sources are commercial explainers, so check the official GST portals for the current limit in a borderline case. Integration with the e-invoice system needs the right access arrangement for your business, and we confirm the route with you during scoping.

E-way bills

An e-way bill is generally required before goods worth more than ₹50,000 are moved, with exceptions for listed goods and certain movements. Validity depends on distance, at one day per 200 km for regular cargo, and rules for movement within a state can vary. Where relevant, the software captures vehicle and transporter details and generates the bill through the official system.

Tax rate changes

GST rates were restructured from 22 September 2025, replacing the earlier four-rate structure with nil, 5, 18 and 40 per cent in most cases. Software that hard-codes rates must be rewritten every time a notification arrives. We keep rates and codes in editable settings with effective dates, so the correct rate applies on the date of supply.

Audit trail for companies

A proviso to Rule 3(1) of the Companies (Accounts) Rules, 2014 requires companies using accounting software to maintain an audit trail of each transaction and an edit log of each change, with the feature not capable of being disabled, for financial years starting on or after 1 April 2023. The trail must be retained as the Companies Act requires. We include edit logging in the design for this reason, and your auditor can tell you how it applies to your company.

Personal data

The Digital Personal Data Protection Act is being brought into force in phases, with its substantive obligations reported to apply from 13 May 2027. We build with role-based access, limited data collection, backups and secure hosting, and suggest you take advice on how the Act applies to you.

How a project runs, and how long it takes

Step 1: Workflow discovery

We map how you bill today, who does what, where errors occur and what must connect to your books.

Step 2: Written scope and quote

We document features, screens, reports, integrations, assumptions and exclusions, and send an itemised quote.

Step 3: Design and prototype

We prepare screen flows for billing, stock and reports, and you approve how it will work before development starts.

Step 4: Build in stages

We develop in agreed stages and share a working version at each one for review.

Step 5: Testing and data migration

We test with your sample data, check tax calculations and reports against known figures and load opening data.

Step 6: Launch and support

We deploy, train your users, document the system and remain available for fixes and agreed updates.

Timeline

A small, focused billing tool can take a few weeks. A multi-branch system with POS, inventory and integrations usually takes a few months. The written scope fixes the stages, and the schedule holds as long as decisions and test feedback arrive on time.

We recommend a controlled go-live. Run the new system alongside the old for a short period, compare totals, and switch fully only when stock and balances match. It costs a little extra effort and removes most launch-week surprises.

Pricing, and how custom compares with other options

Our fee is a custom quote. We do not publish a figure because two projects described as a billing app can differ by an order of magnitude in effort. You receive an itemised proposal after discovery and a written scope.

Any scope change during development is quoted and approved before work continues.

What moves the quote

  • Number of modules and the depth of each, for example simple billing compared with batch-wise inventory
  • Number of users, roles, branches and warehouses
  • Integrations with accounting, payments, messaging and government portals
  • Data migration effort and the cleanliness of existing data
  • Platforms needed: web, mobile, counter devices, and the level of support afterwards

Custom compared with alternatives

OptionBest forTrade-off
SpreadsheetsVery low volume and simple billingCheap, but errors and weak controls grow with volume
Ready-made accounting packageStandard bookkeeping and filingQuick to adopt, but the workflow must fit the product
Ready-made package with add-onsMostly standard needs with a few gapsFills some gaps cheaply, but add-ons can be limited
Custom billing or POSDistinct workflows and multi-branch stock logicFits closely, but costs more upfront and needs maintenance
Custom front end plus accounting platformA tailored billing layer on established booksKeeps proven accounting, though integration scope must be clear

If a configured ready-made product would meet your needs, we will say so during discovery.

Common mistakes in software projects

  • Starting without a written scope, so features keep shifting and costs follow
  • Hard-coding tax rates and rules, which forces code changes every time a notification arrives
  • Allowing posted entries to be changed or deleted without a trace
  • Leaving data migration to the end, when opening balances and masters become a scramble
  • Treating launch as the end, with no one responsible for compliance updates
  • Building a custom system for a need that a configured ready-made product would meet
  • Giving feedback from many people with no single approver

Most of these are avoided with a clear scope, one decision maker and a maintenance plan. They are process mistakes, not technology mistakes.

Note

Ask any developer who owns the source code, where the data is hosted, who pays for third-party services and what happens if you part ways. These answers belong in writing.

After launch, and how PC Media House works

Software that is not maintained slips out of step with the rules around it. After launch, the support plan covers bug fixes, tax-rate and compliance updates and agreed enhancements, with response expectations stated in writing. A short review a few weeks after go-live usually surfaces the small changes users actually want.

Services that connect with this work

  • GST registration and filing, so the data your software produces feeds correct returns
  • Payroll, invoicing and reconciliation for the monthly routines that sit around billing
  • Bookkeeping and management reporting built on the data your system records
  • Website or app development when you want customers to place orders or view invoices online

How we work

PC Media House is based in Delhi and works online across Delhi NCR and India. Discovery happens on calls, working versions are shared through links, and meetings can be arranged by appointment. You receive an itemised quote with a clear scope, and nothing outside it is added without your approval.

To start with a discovery conversation, contact PC Media House. Bring a few real invoices and a list of what frustrates your team, and we will tell you honestly whether a custom build is the right next step.

Frequently Asked Questions (FAQs)

It makes sense when your workflow, branches, stock logic or integrations cannot be handled by a configured ready-made product without constant workarounds. If a standard package fits at lower cost, that is usually the better choice. A short discovery stage helps you compare both honestly before committing.

Under Rule 46 of the CGST Rules, a tax invoice generally shows the supplier's name, address and GSTIN, a unique serial number of up to 16 characters, date, recipient details, HSN or SAC code, description, quantity, taxable value, tax rate and amount, place of supply and a signature. Software should enforce these fields.

Yes, where your business falls under the rules. At the time of writing, e-invoicing applies to registered businesses whose aggregate turnover exceeded ₹5 crore in any financial year since 2017-18, with some exempt categories. The invoice is registered on the government portal, which returns an IRN and QR code. We confirm the current limit at scoping.

For taxpayers with aggregate turnover of ₹10 crore or more, invoices must be reported to the Invoice Registration Portal within 30 days of the invoice date, from 1 April 2025, according to sources we checked. Good software warns users before the window closes. Always confirm against the current government notification.

For companies, a proviso to Rule 3(1) of the Companies (Accounts) Rules, 2014 requires accounting software that records an audit trail of each transaction, creates an edit log of each change in the books, and cannot have this feature disabled, for financial years starting on or after 1 April 2023. Records must be retained as the Act requires.

Yes, where it applies. An e-way bill is generally needed for moving goods valued above ₹50,000, with exceptions, and validity depends on distance. Software can capture transport details and generate the document through the e-way bill system. Rules for movement within a state can differ, so we check your routes.

It should. GST rates were restructured from 22 September 2025, and notifications can change rates and codes again. We keep tax rates, HSN or SAC codes and invoice rules in editable settings, with dates of effect, instead of burying them in code. Updates after launch are covered by the support plan.

The Digital Personal Data Protection Act is being phased in, and its main obligations are reported to apply from 13 May 2027. We design with sensible basics now: role-based access, limited data collection, backups and secure hosting. This is not legal advice, so take advice on your own obligations.

Ownership of code, data and hosting accounts is set out in the written agreement before the build starts, so there is no confusion later. Your business data belongs to you. Terms for source code, licences and third-party components are agreed upfront, and we list any paid services the system depends on.

The price is a custom quote built from the written scope: modules, users, branches, reports, integrations, migration effort and the support you want. After discovery, you receive an itemised proposal. If the scope changes during development, the change is quoted and approved first, so there are no surprise charges.

Facts on this page were checked against the sources below, last reviewed on 7 October 2026. Fees, thresholds and rules can change, so confirm the current position on the official site before you pay or file.
